Whistleblowing Policy

Whistleblowing Policy

Purpose: To provide a safe and confidential mechanism for employees to report concerns about unethical behavior, misconduct, or wrongdoing within the organization.

Scope: This policy applies to all employees, contractors, and stakeholders of The National Institute for Cultural Orientation (NICO).

Guiding principles

1. Confidentiality: Reports will be treated with confidentiality and anonymity, where possible.

2. Protection: Whistleblowers will be protected from retaliation, harassment, or victimization.

3. Impartiality: Reports will be investigated fairly and impartially.

Reporting procedure: The whistle blower is required to adhere to the procedure designated for reporting any case of corruption which includes following the stipulated reporting channels by the Institute.

Reporting channels:

Employees can report concerns to any of the following channels:

a. Designated Whistleblowing Officer (DWO).

b. HOD, Human Resources Management department.

c. Anonymous hotline or email.

Information Required:

-Description of the concern.

-Relevant dates and times.

-Individual(s) involved.

Investigation procedure

  1. Initial review: Reports will be reviewed by the Designated Whistleblowing Officer (DWO) or the designated investigator.
  2. Investigation: A thorough investigation will be concluded, gathering evidence and interviewing witnesses.
  3. Findings: Results will be documented and reported to the Management.

Protection for Whistleblowers

1. Anonymity: Whistleblowers’ identities will be protected, where possible

2. No Retaliation: Retaliation against whistleblowers is strictly prohibited.

3. Support: Whistleblowers will have access to support and guidance throughout the process.

Responsibilities

  1. Employees: Report concerns in good faith.
  2. Management: Ensures policy implementation and support whistleblowers.
  3. Designated Whistleblowing Officer: Oversees reporting and investigation process.

Review and Update

This policy will be reviewed and updated annually or as needed.

By implementing this policy, the National Institute for Cultural Orientation demonstrates its commitment to transparency, accountability, and ethical behavior.
